CANCELLATION & REFUND POLICY

1. Purpose of This Policy


This Cancellation & Refund Policy explains how cancellations, refunds, credits, changes, no-shows and supplier cancellations are handled by FJ Heavenly Travel Pty Ltd.

This policy applies to faith conferences, retreats, bus tours, travel packages, accommodation support, third-party experiences, event registrations and related services.


2. Australian Consumer Law


Nothing in this policy removes rights you may have under Australian Consumer Law.

Where the law requires a refund, replacement service, credit, compensation or other remedy, we will comply with our legal obligations.


3. Customer Cancellation


If you cancel your booking, you must notify us in writing by email.

Cancellation is effective from the date and time we receive your written notice.

Refunds depend on:

  • the package cancellation terms;

  • how much notice you give;

  • whether supplier payments have already been made;

  • whether the deposit was stated as non-refundable;

  • venue, accommodation, bus, catering, activity or supplier terms;

  • administrative costs already incurred;

  • whether your place can be resold;

  • whether a credit or transfer is available;

  • any rights under Australian Consumer Law.


4. Standard Cancellation Schedule


Unless a package-specific cancellation schedule states otherwise, the following standard schedule may apply:

More than 60 days before event or tour

You may receive a refund of amounts paid, less:

  • non-refundable deposit;

  • supplier charges;

  • payment processing fees;

  • administration fee;

  • costs already incurred.

31 to 60 days before event or tour

A partial refund or credit may be offered, less:

  • deposit;

  • supplier charges;

  • venue charges;

  • accommodation charges;

  • transport charges;

  • administration fee;

  • payment processing fees;

  • committed costs.

15 to 30 days before event or tour

Refunds may be limited because supplier commitments are usually final or partly final.

A credit or transfer may be considered where practical.

14 days or less before event or tour

No refund is normally payable unless required by law or allowed by supplier terms.

No-show or same-day cancellation

No refund is payable except where required by law.


5. Non-Refundable Items


The following may be non-refundable where disclosed or already committed:

  • deposits;

  • booking fees;

  • administration fees;

  • payment processing fees;

  • venue deposits;

  • accommodation deposits;

  • bus or coach reservation fees;

  • event registration fees;

  • speaker costs;

  • catering deposits;

  • attraction tickets;

  • activity tickets;

  • supplier cancellation fees;

  • third-party service fees;

  • visa support documentation fees;

  • travel insurance premiums;

  • custom itinerary planning fees.


6. Supplier Cancellation or Change


If a third-party supplier cancels, changes or fails to provide a service, your remedy may depend on:

  • the supplier’s terms;

  • whether the supplier offers a refund, credit or replacement;

  • whether FJ Heavenly Travel Pty Ltd acted as agent or principal;

  • Australian Consumer Law requirements;

  • the reason for cancellation or change.

We will use reasonable efforts to assist you in seeking an appropriate supplier remedy.


7. Cancellation by FJ Heavenly Travel Pty Ltd


We may cancel an event, tour, package or booking where:

  • minimum numbers are not met;

  • a supplier cancels;

  • a venue becomes unavailable;

  • transport becomes unavailable;

  • payment deadlines are not met;

  • customer information is incomplete;

  • safety risks arise;

  • government restrictions apply;

  • weather or emergency conditions make operation unsafe;

  • circumstances outside our reasonable control occur.

If we cancel due to our own decision and no replacement service is provided, we will provide a refund or credit as required by law and according to the circumstances.


8. Force Majeure


If cancellation or disruption occurs due to circumstances outside our reasonable control, such as natural disasters, severe weather, public health restrictions, government action, supplier closure, transport disruption, war, civil unrest, strikes, emergency events or road closures, refunds may depend on supplier terms, recoverable costs and legal requirements.

We will act reasonably and communicate available options.


9. Refund Processing Time


Approved refunds will be processed to the original payment method where possible.

Refund processing times may depend on:

  • internal approval;

  • supplier refund timing;

  • bank processing;

  • card processor timelines;

  • payment gateway rules;

  • verification requirements.


10. Credits


Where appropriate, we may offer a credit instead of a refund.

A credit may be subject to:

  • expiry date;

  • package conditions;

  • availability;

  • price differences;

  • supplier terms;

  • transfer rules.

You are not required to accept a credit where the law gives you a right to a refund.


11. Transfers


You may request to transfer your booking to another person or another event.

Transfers are subject to:

  • availability;

  • supplier approval;

  • identity requirements;

  • visa or travel requirements;

  • administration fees;

  • supplier fees;

  • written approval by FJ Heavenly Travel Pty Ltd.


12. Refund Requests


To request a refund, email us with:

  • full name;

  • booking reference;

  • event or tour name;

  • payment receipt;

  • reason for cancellation;

  • bank details if refund by bank transfer is approved;

  • supporting documents where relevant.
